Buying List — User Guide

Everything you need to know to use the buying tool.

🎯

What does this tool do?

This tool helps you negotiate and close fashion purchases by automatically calculating whether the supplier's price meets your margin target. Instead of doing manual Excel calculations, you enter the article data and the tool instantly tells you whether the price works.

1. Enter the article
Fill in the product details: FOB, RRP, origin, weight, category...
2. The tool calculates
Automatically calculates the total landed cost (LDP) and margin (IMU) using real freight and customs rates.
3. Negotiate with confidence
See the maximum FOB you can pay and how much you need to negotiate down to hit your margin target.
📦

Landed Cost (LDP) — What does it cost to get the goods to Russia?

In plain terms: LDP is the total cost of one unit already in the warehouse. Not just what you pay the supplier (FOB), but also insurance, freight to Russia, and customs duties.
LDP = FOB × 1.003  +  Freight/unit  +  MAX(Fixed duty, % of FOB)
â‘  FOB + Insurance
FOB × 1.003
The price you pay the supplier at the factory gate. The × 1.003 is cargo insurance: 0.3% of FOB covering damage in transit.

Example: FOB = $5.90 → Insured FOB = $5.92
â‘¡ Freight / unit
Route cost ÷ Units per container
The freight cost split across all units that fit in a container. More units = cheaper per unit.

Transit days and route cost are configured in Settings → Freight. Load norms (units per container) are set in Settings → Duties.
â‘¢ Russian Customs Duty
MAX(€ fixed × kg, % × FOB)
Russia applies whichever is higher: a fixed rate (€/kg of garment) or a percentage of FOB. This is exactly the formula from the Excel Control Panel GJ.

Jeans example: fixed=1.9€/kg, weight=0.71kg → €1.35/unit | 13%×$5.90 → $0.77 → fixed wins → duty=$1.57
📊 Real example: Bangladesh Jeans Commercial
FOB$5.90factory gate price
Insurance (×1.003)+$0.0180.3% of FOB
Freight SEA-TRUCK+$0.557freight prorated per unit
Duty MAX(1.9€×0.71, 13%×5.90)+$1.569fixed EUR rate wins
TOTAL LDP= $8.04✅ matches Excel GJ
📈

IMU — What is your margin?

In plain terms: IMU (Initial Mark-Up) is the margin percentage on the retail selling price. An IMU of 72% means that for every ₽100 the customer pays, ₽72 is margin and ₽28 is cost. The target is 72%.
The formula, step by step:
Step 1 — Tax-net RRP (in USD):
pU = RRP_rub ÷ (1 + Tax%) ÷ USD/RUB
The RRP in rubles is converted to USD after first stripping out VAT (default 20%). This puts cost and price on the same currency and tax basis.
Step 2 — IMU:
IMU = (pU − LDP) ÷ pU
Margin is the gap between net price and cost, expressed as a % of price.
Example with real numbers:
PVP₽29.990
IVA (20%)− ₽4.998
Net RRP₽24.992
÷ USD/RUB (87)= $287.26
LDP$8.04
IMU(287.26 − 8.04) ÷ 287.26 = 97.2%
FOB Target: if IMU is low, the tool calculates the maximum FOB you need to negotiate to hit 72% IMU.
IMU ≥ 72% → Green ✅ OK
IMU 65–71% → Amber ⚠️ Review
IMU < 65% → Red ❌ Negotiate

Form fields — explained one by one

Style (Modelo)
Article reference code. E.g. BJN001. Unique identifier in your system.
Description
Article name. E.g. "Slim Fit Denim Jeans 420GSM". Appears on PDF product sheets.
Supplier
The supplier manufacturing the article. Configurable in Settings. Sets the default origin.
Origin
Country of manufacture. E.g. Bangladesh, Vietnam, China. Affects freight cost and customs duties.
Transport
Shipping mode: SEA-TRUCK (ship + truck), SEA-TRAIN (ship + rail), AIR (air freight). Each mode has a different cost and transit time configured in Settings → Freight.
Category
Product category: Jeans, T-Shirts, Outerwear... Determines the customs rate and units per container.
Department

Units
Units to buy. More units = more full containers = cheaper freight cost per unit.
PVP (RRP) ₽
Retail selling price in Russian rubles. The basis for IMU margin calculation. Converted to USD after deducting VAT (20% by default).
FOB R1 / R2 / R3
Supplier-quoted prices in each negotiation round. R1 is the opening offer, R3 the last before close. Each change recalculates IMU in real time.
FOB Closed
Final agreed price with the supplier. When you fill this field and set status to CLOSED, the article moves to the Closed tab and this price is used for all final calculations.
FSD (First Sale Date)
Planned first sale date. The tool automatically calculates HOD (Hand-Off Date) by subtracting the transit days for the chosen transport mode.
HOD (Hand-Off Date)
Latest factory departure date. Calculated automatically: HOD = FSD − transit_days. This is the date you give the supplier to ensure goods arrive on time.
ST% (Sell-Through)
Estimated sell-through percentage of units purchased. Default 65%. Used in replenishment planning.
Target IMU
Margin target for this specific article. Default 72%. The colour indicator and FOB Target are both calculated against this value.
Tax % (IVA)
Applicable VAT percentage. Default 20% (Russia). Change it in the header if operating in another market. Affects the net RRP and IMU calculation.
USD/RUB, EUR/USD, USD/AED
Exchange rates configurable in the header. They update all calculations in real time. Refresh them whenever rates change.
🔄

Step by step — How to use the tool
